Executive Secretary
COPE-Nano is an ambitious project that will leverage on the internationally acknowledged track record and innovation activities of the Nanotechnology Lab LTFN/AUTh to establish a new, autonomous, and self-sustained Centre of Excellence (CoE) for Organic, Printed Electronics & Nanotechnologies (COPE-Nano).
We are looking for a proactive and detail-oriented individual capable of handling multiple tasks with professionalism and efficiency to support the Coordinator/Director of COPE-Nano.
Responsibilities
- Schedule meetings, appointments, take care of executive calendars, provide administrative and organizational support, arranging travel plans for the Director dynamic schedule
- Arrange workplace functions, and other events
- Keep the Director time well-allocated to strategic goals by serving as a point of contact
- Handle sensitive information with the utmost confidentiality and discreet
- Draft and revise Director messages, presentations, and documents
- Manage daily office operations and make sure the workspace is tidy and productive
- Maintain executive’s agenda and assist in planning appointments, board meetings, conferences
- Attend meetings and keep minutes, organizing files and supervise lower-level administrative staff
- Receive and screen phone calls and redirect them when appropriate
- Handle and prioritize all outgoing/incoming correspondence (e-mail, letters, packages, etc.)
- Make travel arrangements for executives
- Handle confidential documents ensuring they remain secure
- Maintain electronic and paper records ensuring information is organized and easily accessible.
Qualifications
- Educational Background: Higher Education degree is required. Master’s Degree will be positively considered.
- Competent with Microsoft Office (Word, Excel, PowerPoint, and Outlook), “back-office” software (e.g. ERP), and presentation tools is essential.
- Communication Skills: Strong proficiency in both spoken and written English. The perfect applicant will be proactive, thorough and able to manage several responsibilities with professionalism and effectiveness.
- Attention to Detail: Exhibited skills in precision and meticulousness.
- Professional Experience: At least 5 years of experience managing an office with prior expertise overseeing office operations and providing support to C-level executives.
- Shown aptitude at setting priorities for projects and activities.
- Effective communication abilities while interacting with stakeholders both inside and externally.
- Excellent organizational and time-management, and multitasking abilities.
- Integrity and confidentiality.
- In depth knowledge of office management.

Call for Expressions of Interest
The Nanotechnology Lab LTFN is seeking for exceptional, experienced and motivated Scientists and/or Engineers (e.g. Physicists, Chemists, Material Scientists, Chemical Engineers, or in similar fields), specialized in Nanoscience and Nanotechnology, Organic Electronics, Bioelectronics, Nanobio and Nano-Manufacturing fields, in order to work in the framework of EU funded and National R&D projects (such as RealNano, FF2S, MUSICODE, nanoMECommons, NanoAthero, Photokipia, COPE-Nano, Flex2Energy, DigiPass etc) in the Lab.
Essential Requirements:
- Master Degree, MBA and/or PhD Thesis in the fields of Organic Electronics, Nanotechnology, Materials Science and Engineering, Nanobiomed, Nanometrology, AI and Machine Learning
- Experience of at least two years in Research and/or Industry in the framework of EU and/or national funded R&D Projects in the fields of Organic Electronics, Bioelectronics, Nanotechnologies, Thin films or Advanced Materials, Green and Clean Tech and Energy, etc
- Laboratory experience and skills in fabrication, manufacturing and/or characterization & modelling of materials and devices at nano-and micro-scale
- Skills for drafting, organization and submission of project deliverables, progress reports, publications in scientific journals
- Presentations (oral or poster) and participation in international conferences
Desirable Requirements:
- Computer handling knowledge of (a) word processing objects, (b) spreadsheets, and (c) internet services
- Organizational & Time Management Skills
- At least good command of English (B2)
Responsibilities:
- Development, optimization and fabrication of novel nanomaterials and devices for Organic & Printed Electronics (e.g. Organic Photovoltaics, Organic Light Emitting Diodes, Organic Thin Film Transistors, Biosensors, etc.) by printing and gas transport and vacuum techniques
- Characterization and testing of optical, opto-electronic, electrical, biochemical, structural & nanomechanical properties, and structure of nanolayers and investigation of stability and lifetime of OE devices
- Computational modeling of opto-electronic properties and structure of nanomaterials and devices
- Prepare reports, deliverables, meetings, presentations and exhibitions related to the project implementation and the Lab work
- Project Implementation, management, and Submission of new proposals
